Preparing for Guest Speakers

Pre-Presentation:

  1. Ask guest speaker or co-sponsor for bio, photo, website and social media site information, business card and contact information.
  2. Reserve the area of the library or the library classroom on the library's event calendar.
  3. Prepare marketing materials on guest and event.
  4. Prepare an introduction and closing note of appreciation for the speaker.
  5. Prepare signs to post if a presentation is full and unable to seat additional participants.
  6. Place extra chairs in the space if available.
  7. Make programs or agendas with speaker's bio and presentation information
  8. Prepare attendance slips for students
  9. Confirm presentation schedule and ask presenter for last minute changes.
  10. Ask presenter for any equipment needed for their presentation (projector, internet, whiteboard, podium, iPad presentation needs.)
  11. Ask if there are any last minute arrangements or changes needed two days before the presentation.

Presentation:

  1. 20 minutes before presentation check to see if all equipment is set and materials are ready.
  2. Present the agenda for the presentation (guest will speak, we'll have follow up questions at the end of the presentation, etc.)
  3. Introduce Co-sponsor and/or guest and turn the event introductions over to them.
  4. Introduce presenter if a co-sponsor is not part of the event.
  5. Thank special guest in attendance.
  6. Dim lights if requested and operate any equipment needed to record the event if desired.

Post-Presentation:

  1. Thank presenter and let them know when any publicity might be available.
  2. Send a written thank you note.
  3. Thank the presenter on social media.
  4. Restore any equipment or furnishings to their original spaces.
  5. Write a follow-up report to note any future needs or changes in preparing for programs.

Authors and Signings

Library Policy:

  • Authors are selected by Humanities or Campus Representatives.
  • The library cosponsors and shares facilities for author events.
  • Book signings relate to cosponsored events.
  • Independent Authors should go through the bookstore to arrange book signings.
  • Posters for bookstore sponsored book signings can be placed in the library.
  • Marketing events will be the responsibility of the department or division sponsoring the event.
  • The library will promote and share events through social media.

  • Orders limited to popular speakers and books incorporated into courses.

  • Order 2 to 3 weeks in advance if possible.
